This policy explains what we do with your personal information when you enquire with Bubba's Project Gym, use this website, or become a member. We are the data controller for that information.

Who we are

What we collect

When you fill in an enquiry form on this site, we collect:

  • Your name, phone number and email address
  • Which programs you told us you're interested in
  • Which page you enquired from, and the date and time you submitted
  • Marketing attribution data where present in the web address you arrived on — for example whether you came from a Google or Facebook advert

If you go on to book a call or join the gym, we also hold the details you give us at that point, such as your appointment time and membership information.

Why we use it, and our legal basis

  • To answer your enquiry and arrange your intro call. Legal basis: legitimate interests — you asked us to get in touch.
  • To follow up by WhatsApp, text and email about the service you enquired about. Legal basis: legitimate interests, relying on the “soft opt-in” under the Privacy and Electronic Communications Regulations. Every message gives you a way to stop, and we stop immediately when you use it. Each channel is treated separately — stopping WhatsApp does not stop our emails, and stopping our emails does not stop WhatsApp, so tell us whichever you want to end and we will action just that one.
  • To understand how the website is used. Legal basis: consent. We do not set analytics cookies unless you agree to them.
  • To administer your membership, if you join. Legal basis: performance of our contract with you.

Who we share it with

We do not sell your data. We share it with the suppliers who run our systems:

  • HighLevel (LeadConnector) — our customer relationship and messaging platform, which stores your contact record and sends our WhatsApp messages, texts and emails.
  • Meta Platforms— if we message you on WhatsApp, your phone number and the content of that message are handled by WhatsApp in order to deliver it, and are also subject to WhatsApp's own privacy terms.
  • Google Analytics — website usage measurement, only if you agree to analytics cookies.
  • Vercel — website hosting.

Some of these suppliers process data outside the UK. Where that happens, the transfer is covered by the safeguards those suppliers put in place, such as the UK addendum to the EU Standard Contractual Clauses.

How long we keep it

If you enquire but never join, we keep your details for up to two years so we can pick the conversation back up if you come back to us, then delete them. If you become a member, we keep your records for the length of your membership and for six years afterwards to meet our tax and legal obligations. You can ask us to delete your details sooner at any time.

Marketing — how to stop it

Reply STOP to any WhatsApp message or text, click unsubscribe in any email, or email us. We treat each channel on its own, so tell us which one you want stopped and we will stop that one — if you want everything stopped, say so and we will. Opting out of marketing does not affect messages we need to send you about a booking or your membership.

You do not have to wait for a message to arrive to say no. Every enquiry form on this site has a tick box that turns marketing off before you send it, and ticking it costs you nothing — we still reply to your enquiry, confirm your booking and send you anything you need in order to turn up.

Each version of our enquiry form carries a version number, shown at the top of this page, and we record it with your enquiry along with the exact wording you were shown. That way we can always tell you what you agreed to and when, rather than asking you to take our word for it.

Cookies

This site does not currently set any analytics or advertising cookies. If we add website measurement in future we will ask you first, and you will be able to say no and still use the site normally. Cookies that are strictly necessary to make the site work do not require your permission. You can block or delete cookies in your browser settings at any time.

Your rights

You have the right to ask for a copy of the personal data we hold about you, to have it corrected or deleted, to object to how we use it, and to ask us to restrict its use. Email support@bubbasprojectgym.co.uk and we'll respond within one month.

If you're not happy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, though we'd appreciate the chance to put it right first.

Children

Some of our programs are open to under-18s. Where a young person takes part, we ask a parent or guardian to provide their details and consent, and we deal with the parent or guardian rather than marketing to the child.

In practice that means the Youth High Performance enquiry form asks for the parent or guardian's name, phone number and email as the contact details, and asks them to confirm they are the parent or guardian. About the young person themselves we ask for a first name and an age range and nothing else — no surname, no date of birth, no school. Those two details sit on the parent's record so that we know which group to put a child in. We do not create a record for a child, and we never market to one.
